Refund and Cancellation Policy
Effective date: 12 July 2026
This Refund and Cancellation Policy applies to bookings made with JongBelt Films.
Before the Shoot
Before filming begins, we will discuss the client’s wishes, expectations and project requirements.
If we determine that we cannot reasonably fulfil the agreed wishes, we may cancel the project. In that situation, the client will receive a full refund of all amounts paid to us for that project.
Client Cancellations
Client-requested cancellations made before the shoot will be handled according to the booking confirmation and the amount of work already completed.
We may deduct reasonable non-recoverable costs that were specifically incurred for the project, such as location costs, equipment rental, travel reservations or third-party services, except where mandatory consumer law requires otherwise.
Statutory Withdrawal Rights
Consumers who book our services online, by telephone or outside our business premises may have a statutory withdrawal period.
Where the client asks us to begin work during that withdrawal period, we may request explicit consent to begin early. If the client subsequently withdraws after work has begun, the client may be required to pay for the services already performed, where permitted by law.
Mandatory consumer rights always take priority over this policy.
Once the Shoot Has Begun
For the purpose of this policy, the shoot begins when we arrive at the agreed location and begin preparation, setup, photography or filming.
Once the shoot has begun, payments are normally non-refundable. This includes refund requests based solely on:
A change of mind;
Personal taste;
A change in the client’s plans;
Participants who do not wish to appear;
Weather or location conditions that were accepted by the client;
Information or instructions that were not provided before or during the shoot; or
Expectations that were not part of the agreed brief.
This does not remove any mandatory legal rights the client may have when a service was not properly performed.
Problems With the Final Result
If the final media does not reasonably match the agreed brief, the client must contact us within 14 days of delivery.
We will first attempt to resolve the issue through reasonable editing adjustments. If the problem cannot reasonably be corrected through editing, we may offer a replacement session within the original project scope.
A refund will not normally be provided where a reasonable correction or replacement session can resolve the issue, except where applicable law requires otherwise.
Missed or Delayed Shoots
When a shoot cannot take place because of illness, severe weather, emergencies, unsafe conditions or another circumstance outside reasonable control, we will normally offer a replacement date instead of a refund.
If we are permanently unable to provide the booked service and no suitable replacement arrangement can be made, the client will receive a refund for the part of the service that was not provided.
Refund Processing
Approved refunds will be returned using the original payment method, where possible.
Processing times may depend on the bank or payment provider. Refunds required under statutory withdrawal rights will be processed within the legally required period.

TERMS OF SERVICE
Terms of Service

These Terms of Service apply provided by JongBelt Films, operated by Robin and Chris, referred to in these Terms as “we”, “us” or “our”.
By booking our services, the client agrees to these Terms.
1. Our Services
We provide photography, videography, editing and content-production services. The exact services, filming hours, locations, deliverables, price and expected delivery date will be stated in the booking confirmation or project agreement.
Anything that is not specifically included in the booking confirmation is not automatically included in the project.
2. Booking and Project Details
A booking becomes confirmed once:
We have accepted the project;
The client has accepted these Terms;
The requested deposit or payment has been received; and
The date and location have been confirmed.
Before the shoot, we will contact the client to discuss the date, location, schedule, creative direction and desired result.
The client must provide accurate and complete information about their wishes before filming begins.
3. Feasibility of the Project
We will review the client’s wishes before the shoot. If we determine that we cannot reasonably achieve the requested result, we may cancel the booking and issue a full refund of all amounts paid to us for that project.
We will always communicate this as soon as reasonably possible.
4. Payment
The price and payment schedule will be stated in the booking confirmation.
Unless otherwise agreed in writing, the final deliverables will only be provided after full payment has been received.
Additional filming hours, locations, revisions, travel expenses or services that were not included in the original booking may be charged separately. We will inform the client before performing chargeable additional work.
5. Cancellations and Refunds
Cancellations and refunds are handled according to our Refund and Cancellation Policy.
Nothing in these Terms limits any mandatory rights the client may have under applicable consumer law.
6. Rescheduling
A client may request to reschedule a shoot. Rescheduling is subject to our availability and any non-recoverable costs already incurred.
When filming cannot safely or reasonably take place due to severe weather, illness, venue restrictions, emergencies or circumstances outside either party’s control, we will work with the client to arrange a suitable replacement date.
7. Client Responsibilities
The client is responsible for:
Providing the correct date, time and location;
Arranging access to the filming location;
Obtaining any necessary venue permissions;
Informing us about important moments, people or details that must be captured;
Ensuring that participants are aware that photography or filming will take place; and
Obtaining any permissions that are the client’s responsibility.
We are not responsible for missed footage caused by incorrect information, restricted access, delays, uncooperative participants or circumstances outside our reasonable control.
8. Creative Style
The client acknowledges that photography and filmmaking are creative services.
By booking us, the client accepts our general visual style, shooting methods and editing approach. We will follow the agreed brief while retaining reasonable professional and creative discretion regarding composition, lighting, camera placement, colour grading, music, pacing and editing.
Differences based only on personal taste do not automatically mean that the service was defective.
9. Editing and Revisions
Reasonable revisions that remain within the original agreed brief are included where stated in the selected package.
Requests that change the original concept, require extensive re-editing or introduce new deliverables may be charged separately.
The client must provide clear revision feedback within 14 days of receiving the first version. If no feedback is received within that period, the project may be considered approved.
10. Our Satisfaction Promise
We want every client to be genuinely happy with the final result.
If the delivered work does not reasonably match the agreed brief, the client must contact us within 14 days of delivery and explain what needs to be corrected.
We will first attempt to resolve the matter through reasonable editing adjustments. When the issue cannot reasonably be corrected through editing, we may arrange one replacement session without an additional creative fee.
The replacement session must remain within the original project scope. New concepts, locations, services or requirements may result in additional charges.
11. Delivery and Project Files
The delivery method and estimated delivery period will be stated in the booking confirmation.
Delivery dates are estimates unless a specific guaranteed deadline has been agreed in writing.
We may retain project files for up to 12 months after final delivery for backup and re-delivery purposes. After this period, we may permanently delete the files. The client is responsible for downloading and safely backing up all delivered media.
12. Ownership of Delivered Media
After full payment and delivery, we assign to the client all transferable economic copyrights that we own in the delivered photographs, films and delivered raw footage.
The client may copy, edit, publish, share and commercially use the delivered media without requiring further permission from us.
This assignment applies only to media that has actually been delivered to the client. Project files, editing timelines, templates, working files and unused footage are not included unless expressly agreed in writing.
Third-party materials—including licensed music, fonts, stock footage, graphics or software remain subject to the rights and licence conditions of their respective owners.
Any creator’s moral rights that cannot legally be transferred or waived remain unaffected.
13. Privacy and Publication
Client media is treated as private.
Only Robin and Chris may view the footage for creative selection, editing, quality control and delivery. Secure technical service providers may process or store files where necessary, but they are not permitted to use the media for their own purposes.
We will not post, publish, advertise, sell or use client media in our portfolio, website or social media without the client’s separate written permission.
Giving or refusing portfolio permission does not affect the price or quality of the service.
14. Equipment Failure and Data Loss
We use reasonable professional care when capturing, storing and backing up media.
In the rare event of equipment failure, file corruption, theft or accidental data loss, we will make reasonable efforts to recover the material or arrange a replacement session.
Where replacement is impossible, our liability will be limited to the remedies required under applicable law and, where legally permitted, the amount paid for the affected service.
15. Limitation of Liability
To the extent permitted by law, we are not liable for indirect damage, loss of profits, missed opportunities or losses caused by circumstances outside our reasonable control.
Nothing in these Terms excludes liability that cannot legally be excluded, including liability resulting from fraud, deliberate misconduct, gross negligence, death or personal injury where applicable.
16. Complaints
Complaints should be sent to jongbeltfilms@gmail.com within a reasonable period after the issue is discovered.
Please include the booking name, project date and a clear description of the issue. We will review the complaint and try to provide a fair solution.
17. Applicable Law
These Terms are governed by Dutch law.
Any dispute will be submitted to the competent court in the Netherlands, unless mandatory consumer law gives the client the right to bring the dispute before another competent court.

At JongBelt Films, we understand that photographs, videos, audio recordings and personal moments require care, discretion and trust.
This Privacy Policy explains how we collect, use, protect and store personal information.

Depending on the project, we may collect:

Technical website information, such as IP address, device type and cookie preferences.
3. Why We Use Your Information
We process personal information to:
Respond to enquiries;
Prepare quotes and bookings;
Communicate about the project;
Perform photography, filming and editing services;
Deliver the completed media;
Process payments and maintain business records;
Provide support, revisions or re-delivery;
Protect our equipment, systems and legal interests; and
Comply with legal and administrative obligations.
We process information where it is necessary to perform our agreement, comply with a legal obligation, pursue a legitimate business interest or where the person concerned has provided valid consent.
4. Privacy of Your Media
All photographs, footage and audio created for a client are treated as private project material.
Only Robin and Chris review the media for creative selection, editing, quality control and delivery.
We do not sell client media or allow other organisations to use it for advertising, profiling or their own commercial purposes.
Technical service providers—such as secure cloud-storage, file-delivery, website-hosting or backup providers—may technically process or store the files when necessary. These providers may only process the information to provide their service and must apply appropriate privacy and security protections.
5. Portfolio and Social-Media Use
We will not publish or use identifiable client media on our website, portfolio, advertisements or social-media accounts without separate written permission.
Portfolio permission is optional. A client may refuse permission without affecting their booking, price or final result.
Where publication is based on consent, that consent may be withdrawn for future use. Withdrawal does not affect publication or processing that lawfully occurred before consent was withdrawn.
6. Ownership After Delivery
After full payment and delivery, the client receives the transferable ownership and usage rights described in our Terms of Service.
We do not retain a right to publish or promote ourselves using the delivered media unless the client has separately given written permission.
Privacy rights, portrait rights and copyright are separate legal rights. Transferring copyright does not remove the privacy or portrait rights of people appearing in the media.
7. Sharing Personal Information
We only share personal information when necessary with:
Secure hosting, storage or file-delivery providers;
Payment and accounting providers;
Professional advisers where necessary;
Authorities where disclosure is legally required; or
Other parties specifically approved by the client.
We do not sell personal information.
When a service provider processes information outside the European Economic Area, we will use an appropriate legal safeguard where required.
8. How Long We Keep Information
Project media may be retained for up to 12 months after final delivery for backup, support and re-delivery. After this period, the files may be permanently deleted.
A client may request earlier deletion after delivery, provided that we are not legally required to retain the information and no unresolved contractual or legal matter requires continued storage.
Booking, payment and invoice information is kept for the period required by applicable accounting and tax laws.
General enquiries that do not result in a booking will be deleted when they are no longer reasonably necessary.
9. Security
We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, misuse, alteration or disclosure.
These measures may include password protection, restricted account access, secure storage, encrypted connections and appropriate backups.
No storage or transfer method is completely risk-free, but we limit access to what is reasonably necessary.
10. Your Privacy Rights
Depending on the circumstances, you may have the right to:
Request access to your personal information;
Correct inaccurate information;
Request deletion of information;
Restrict certain processing;
Object to certain processing;
Receive certain information in a portable format;
Withdraw consent; and
Submit a complaint to the Dutch Data Protection Authority.
Some rights may be limited where information must be retained for contractual, evidential or legal reasons.

11. Other People Appearing in the Media
Events and productions may include guests, employees, performers or other participants.
The client is responsible for informing participants about the planned photography or filming where reasonably possible and for arranging permissions that fall under the client’s responsibility.
We will cooperate with reasonable privacy requests from identifiable participants, taking into account the client’s agreement and applicable law.
12. Cookies and Website Analytics
Our website may use cookies that are necessary for the website to function.
Optional analytics, advertising or tracking cookies will only be used in accordance with applicable consent requirements. Further details may be provided through the website’s cookie settings or cookie notice.
13. Changes to This Policy
We may update this Privacy Policy when our services, systems or legal obligations change.
The latest version will be published on our website with its effective date.
14. Contact and Complaints
You may submit a complaint to the Dutch Data Protection Authority if you believe your personal information has been handled unlawfully.
